General Terms and Conditions

  1. The Exhibitor should apply on Participation Form for Participation with 50% payment and submit to the organizer confirming their participation in the said Exhibition. Space Allotment will be on the level of participation and on a ‘first-come-first served’ basis.
  2. The term ‘Exhibitor’ shall mean any company, partnership, firm, organization or individual to whom stand space has been allocated for the purpose of exhibiting, advertising and sponsorship and shall include their employees, contractors, suppliers and agents.
  3. The term ‘Exhibition’ shall mean any exhibition or event run by ZMZ Events and in particular shall mean the event detailed on the Participation Form. The term ‘organizer’ shall mean ZMZ Events and its employees.
  4. The term ‘Venue’ shall mean any exhibition hall, tent, land or area, conference facility, hotel or other such building and in particular shall mean the venue listed in the Participation Form and anywhere within the precincts of such location under the control of the organizer for the purposes and duration of the event.
  5. The ‘Contract’ comes into being, when the organizer writes the words ‘accepted’ on the duly filled and signed Participation Form submitted by Exhibitor.
  6. The organizer reserves the right to reallocate space, change the layout, add or delete corridors in space plans – which may affect the orientation of some Exhibitors. The decision of the organizer shall be final and binding. All the payments are to be cleared within the date stipulated by the organizer. The booking of the stall/s is liable to be cancelled if specified payment is not received within the specified date.
  7. The Company (Proposed Exhibitor) who agrees to participate at the Exhibition shall abide by the regulations and bye-laws of the Exhibition. Upon any breach of contract by the Proposed Exhibitor, such Exhibitor is liable to be evicted from the execution and the Exhibitor is liable to pay the Participation Expenses in full to the Organizer.
  8. ELECTRICITY: Available at 230 V Single Phase and 200 watts max use. Any additional requirement would be chargeable. The organizer will provide Electricity at a suitable point in the Stall.
    Internal distributions to the Machinery/Equipment will have to be arranged by the Exhibitor’s Electrical Contractor at their own cost.
  9. SALE OF EXHIBITS: Sales are allowed during the Exhibition. However, removal of any Exhibits during the Exhibition period is strictly prohibited.
    For any sales at the Exhibition, exhibitors have to ensure that the GST Department is informed in advance and all payable taxes are deposited by the exhibitors. The organizers will not be responsible for the same.
  10. HANDLING OF EXHIBITS, CUSTOMS AND IMPORT: The organizer will appoint Clearing and Forwarding Agents who would assist in handling and completing Customs formalities. The Exhibitor may contact them directly for any such assistance. Movement of Exhibits in the Exhibition Ground by agencies other than the Official Clearing and Forwarding Agents is strictly prohibited.
  11. STALLPOSSESSION: Bare Space: One day before the start of the exhibition and stand completion by 2000hrs with all exhibits in position. Shell Type: One day before the start of the exhibition.
    The Exhibitor is not allowed to encroach on aisles or open space outside his stall.
  12. REMOVAL OF EXHIBITS: Exhibitors will remove all their materials at the end of the show. Organiser will not be responsible if Exhibitor fails to comply with conditions enumerated in the Exhibitor’s Manual.
  13. STAND MAINTENANCE: Painting or use of nails/screws on the laminated panels is not allowed. Drawing pins or adhesive tapes could be used.
  14. DAMAGES TO THE EXHIBITION VENUE: Exhibitors must not make any damage to the floor or structure. In case of damage the cost specified by the Organiser will have to be paid by the Exhibitor. The Organiser reserves the right to seize and/or retain the exhibitor’s property in case of non-fulfillment of their contractual obligations. The Organiser shall not be responsible for any damage caused to exhibits, which are seized.
  15. CANCELLATION: 50% advance payment at the time of signing is non-refundable, during cancellation or withdrawals from participation, two-month notice should be provided in the writing before the start of the event to get a 50% refund on the total participation expenses.
  16. INSURANCE: Against all ascertainable risks from transportation to display and removal should be done by the Exhibitors at their own cost. Organiser will in no way be responsible in any way for this. Exhibitors will insure their Exhibits against loss, damage, theft, fire etc. They will also ensure third party insurance for the total duration of the Exhibition.
  17. SECURITY: The Organiser will be providing GENERAL SECURITY in the Exhibition Hall for the exhibition duration only. However, it may be noted that security at individual stalls can’t be arranged. The Exhibitor has to make sure that they adhere to the venue timings.
  18. PHOTOGRAPHY / VIDEOGRAPHY: The Organiser reserves the right to photograph any exhibit and can further use and edit it for their purpose .
  19. FORCE MAJEURE: If the Exhibition is abandoned, cancelled or suspended in whole or in part by reason of war, fire, natural calamity, national emergency, labor dispute, the non-availability of exhibition premises or any other cause not within the control of the Organiser, the Organiser may, at their entire discretion, repay the Participation Expenses paid by the Exhibitor or part thereof but shall be under no liability in respect of any actions, claims or losses.
  20. ALTERATIONS OF SPACE ALLOTTED: In special cases the Organizers reserves the right to modify stall dimensions, and/or allot a stall of plus or minus 1 sqm area. Allotment of stall locations will be made by the organizers on the level of participation and first come first serve basis. No change of location will be allowed, organizers’ decision will be final and binding.
  21. INDEMNIFY: The Exhibitor shall indemnify the Organizer against any loss, damages or expenses incurred or suffered by the Organiser (including consequential loss which shall include but not be limited to loss of profit, loss of anticipated savings and other economic loss) as a direct result of an act or omission on the part of the Exhibitor in relation to the Contract.
  22. Smoking is not permitted at the venue and eating is not allowed at the venue except in the cafeteria.
  23. Catalogue entries will be included in the exhibition catalogue only if they are submitted before the one month start of exhibition. The Exhibitor will hold the Organiser safe & free of any liabilities for any loss or damages suffered as a result of non-inclusion or misrepresentation in the catalogue.
  24. An exhibitor manual will be issued to the Exhibitor containing detailed information/guidelines for participation in the exhibition. All conditions and details contained therein are binding on all exhibitors and appointed agents for the exhibition and must be complied with, without exception.
  25. The Exhibitor shall hold the Organiser safe and harmless from all loss or damages suffered directly or indirectly arising out of any act or default or negligence of any staff, servant, agent, employee, printer, publisher, service provider, advertising agency or subcontractor of the Organiser.
  26. The Exhibitor is not allowed to bring into the exhibition area/stands any exhibit or any substance, which is liable to cause harm to the public or cause a fire or explosion. The Organiser may in their absolute discretion demand the removal of, or take steps themselves to remove, any such exhibit or substance at the Exhibitor’s expense.
  27. Only the products and the organisation name entered in the Participation Form will be allowed to be displayed on the stand. No sub-letting, sharing or exchange of any part of the space applied for or shell scheme service, optional stand service or electrical items are permitted. Any area occupied in excess of the contracted area will be charged as per the participation fee without discount.
  28. The agreement to exhibit is irrevocable by the Exhibitor and in the event of cancellation or no-show full participation fees is liable to be paid by the Exhibitor.
  29. The date, time and duration of the exhibition shall be at the discretion of the Organiser. In the event of any change the Organiser shall notify the Exhibitor of the opening and closing times no later than 7 days prior to the date of the exhibition.
  30. All decisions will be subject to Mangalore Jurisdiction only.
  31. GENERAL RULE: In addition to the above, the Exhibitor will have to abide by general rules of India Trade Promotion Organisation (formerly TFAI) for safety and maintenance as well as for aesthetic appeal.
  32. AGREEMENTS, PERMISSIONS: All verbal Agreements, Permissions, Individual approvals shall be deemed to be valid only if confirmed in writing by the Organisers.
  33. Any and all disputes and/or claims arising out of contract, shall be settled by Arbitration to be held in Mangalore in accordance with the provisions of the Arbitration and Conciliation
